Junk mail filter in IncrediMail

           IncrediMail includes a sophisticated subscription service that filters mail without you having to spend another thought or click on all the junk (more or less). But even without a subscription to JunkFilter Plus, you can turn your IncrediMail Inbox into a lean and spam-free place.

Using IncrediMail's own filtering engine, you can send all mail from senders you have not yet approved to the Junk Mail folder (okay, it's the JunkFiler Plus is OFF folder, too). Reviewing the messages in this folder, you can then easily add new senders to your list of approved addresses.
 

Filter Mail from Unknown Senders to the Junk Folder as Spam in IncrediMail

To send mail from senders you have not approved to the junk folder in IncrediMail automatically:
  •     Select Tools | Message Rules... from the menu.
  •     Click Add....
  •     Make sure the filter reads If Received from unapproved sender then Move it to.
  •     Click the ... button.
  •     Highlight the Junk Mail folder.
  •     Click OK.
  •     Click OK again.
  •     Click Close.

Enable hotkey shortcuts in IncrediMail

             You have IncrediMail running in the background all the time, and you use the system tray icon extensively, but something is clearly missing in this display of IncrediMail's ubiquity: the keyboard.
 

     IncrediMail also offers keyboard shortcuts that you can use even when IncrediMail is not the topmost window. If you press the right keyboard shortcut in Notepad, for example (or in Windows Mail), a new message composition window comes up in IncrediMail.

Steps to enable system-wide keyboard shortcuts in IncrediMail:
  •     Select Tools | Options from the menu in IncrediMail.
  •     Go to the Advanced tab.
  •     Make sure Use IncrediMail Hotkeys (F6, F10, F12) is checked.

IncrediConvert : Exporting tool

       As soon as you want to switch from IncrediMail to another email program, you discover a good reason to switch that is at the same time a reason not to switch: IncrediMail does not offer you to export mail to a common format that would allow you to import your precious messages to the new email client.Export Mail from IncrediMail Using IncrediConvert

IncrediConvert is free, but it may not work with every version of IncrediMail.

To import mail from IncrediMail in another email program with IncrediConvert:

  •     Create a backup of your IncrediMail data.
  •     Launch IncrediConvert.
              IncrediConvert automatically selects your default IncrediMail Identity and all folders except Deleted Items.
  •     To convert mail from another identity, select its path under IncrediMail\­Data\­Identities in the folder tree on the left.
  •      Make sure you deselect all empty folders. When trying to export messages from empty folders, IncrediConvert can stall.
  •     Click the Export toolbar button.
  •     Highlight Desktop under Select output folder..
  •     Click Create new folder.
  •     Type "exported mail".
  •     Hit Return.
  •     Click OK.
  •     Click Open folder.

    For every folder inside exported mail:
 
  •         Open the folder by double-clicking it.
  •         Press Ctrl-A to select all .eml files.
        Drag and drop them to the folder in Outlook Express that you want to import them to.
        (Make sure you drop the .eml files on the folder in Outlook Express (with Outlook Express open), not the folder in Windows Explorer where Outlook Express keeps mail on your hard disk.) These steps can be followed for IncrediMail installed in Windows XP, 2000, 98 etc

Export Mail from IncrediMail to Another Email Program

Fortunately, there are tools to extract your emails from IncrediMail, e.g. IncrediConvert.

To save IncrediMail mail to EML files, which you can import into other email programs, with Incredimail Backup PRO (see below for a free alternative):

  •     Launch Incredimail Backup PRO.
  •     Make sure My incredimail accounts is selected.
  •     Click Extract to EML.
  •     Highlight the desired IncrediMail identity.
  •     Click Next ->.
  •     Optionally, uncheck all folder you do not want to export.
  •     Click Next ->.
  •     Highlight your Desktop.
  •     Click Next -> again.
  •     Close Incredimail Backup PRO.
  •     Open the [Date] - Incredimail EML - [Identity] folder on your Windows Desktop.
              For every folder inside:
  •       Open the folder with a double-clicking.
  •       Press Ctrl-A to select all .eml files.
        Drag and drop them to the folder in Windows Mail or Outlook Express that you want to import them to.
 
        (Make sure you drop the .eml files on the folder in Windows Mail or Outlook Express, not the folder in Windows Explorer where Windows Mail or Outlook Express keeps mail on your hard disk.)These steps can be followed for IncrediMail installed in Windows XP, 2000, 98 etc

Editing User Dictionary: IncrediMail

   Does the IncrediMail spell checker know your name or your city's?

Fortunately, it's easy to add new words to your personal user dictionary so the spell checker stops bothering you about using them in emails. What, though, if you have added a misspelled word — and now would like to get back alerts about it?

Edit Your IncrediMail User Dictionary

Steps to remove words you have added to IncrediMail's spell checker or edit them:
  •     Open your IncrediMail store folder in Windows Explorer.
  •     Make sure IncrediMail is shut down.
             Open the Identities folder, then your identity's folder and finally the lex folder in your IncrediMail data directory.
  •     Launch Notepad (or your favorite text editor).
  •     Drag and drop the private.tlx onto Notepad.
  •     Look for the word you want to delete or edit.
  •     To remove a entry, delete the entire line on which you find the word.
  •     To edit an entry, edit the word in place.
  •     Close Notepad saving private.tlx.

IncrediMail's store Folder

           It's easy to read your mail in IncrediMail itself, and you can control the settings, spam filter, blocked senders, contacts and drafts from there, too. No, you don't have to access your IncrediMail data folder on disk directly for that. You can even back up and restore or move all your IncrediMail data from the friendly program itself. Why Would You Want to Look Inside IncrediMail?

So why would anybody want to locate and open the place on their disk where IncrediMail keeps all the files and hides all the details? Isn't it dangerous?

If you take care not to delete or touch any file without making a backup copy of it first (just create a copy of the file in the same directory and add ".orig" to its name) messing with your IncrediMail data directly will do no harm. And it can be useful for removing addresses from the IncrediMail auto-complete list, for example; or to clean up your IncrediMail letters; or to back up certain aspects manually; or to apply a fix if something inside IncrediMail breaks.

 
Find And Open Your IncrediMail Data Folder and Message Store

Now, to locate and open your IncrediMail data folder:

   
  •     Make sure Windows is set to show hidden files in Explorer.
  •     Select Tools | Options... from the menu in IncrediMail.
  •     Go to the General tab.
  •     Click Data Folder Settings....
  •     Hit Tab until the field with the current location of your data folder is highlighted.
  •     Press Ctrl-C.
  •     Shut down IncrediMail.
  •     Press Windows-R.
  •     Now press Ctrl-V.
  •     Hit Return.

                 Before email, we knew pretty well what a signature was. It did not include a quotation, and no URLs either. With IncrediMail, you can start practicing your signature again and add it to the messages you send — "handwritten".

Format Painter in IncrediMail

          Formatting text is easy in IncrediMail, and the toolbar buttons for bold, fonts, colors and friends make it fast, too.

Still, applying the same formatting to a number of passages can be cumbersome — and be it only the boldening of a list's titles.

Fortunately, IncrediMail has another potent tool up its toolbar: the format painter. Using this nifty gadget, you can copy text formatting from one part of your email to another even faster.

Creating backup in IncrediMail

                  You may have some messages that carry particular importance. Of course, you keep them in a save folder inside IncrediMail and you have printed them, but one never knows. In IncrediMail you can  back up all your email data easily, it is also particularly easy to make back-up  messages.


          IncrediMail calls the tool you can use to make a backup "Data and Settings Transfer". Of course, you won't be fined  if you use the backup copy you created using "Data and Settings Transfer" to transfer the data and settings to the very same copy of IncrediMail on the very same computer after a crash.

 
Back Up IncrediMail Emails, Contacts, and other Data

Steps to create a backup copy of your IncrediMail files:
  •      Select File | Data and Settings Transfer | Transfer to New Computer... from the menu in IncrediMail.
  •     Click Continue.
               In some version of IncrediMail, you have to click OK.
  •     Choose the folder and file name of your backup copy.
  •     Click Save.
  •     Watch IncrediMail back up your data.
  •     Close the finishing dialog with OK.

Adding signature automatically to mail

               A signature is a few lines of text that are automatically added to the end of an outgoing message when it is sent. A signature can be whatever you want, but it is mostly used to give contact information (telephone, address, etc).

        In IncrediMail, you can create an impressive signature easily. Of course you want to append it to every message you compose. Fortunately, IncrediMail can do this automatically for you.

Highlight sender mail with a Color

           Work mails are in red, and Friends mail are in yellow. Family mails are in blue, and rest in  green. By color-coding messages from certain recipients automatically in IncrediMail you can immediately see who's mails are in your Inbox and from. How can you do that? It's easy!

                 There's at least one advantage the phone has over email: it carries your voice and its tone. But wait, email can carry that, too, by way of attachments. With IncrediMail creating a voice mail attachment is particularly easy.

  •     Click on the Recorder toolbar button while composing a message in IncrediMail.
                  Alternatively, select Tools | Voice Message Recorder... from the menu.
  •     Click the Record button.
  •     Start talking (or singing; or making noise).
  •     Select Stop when you have finished.
                    You can listen to your recording by selecting Play.

Adding music backgound to mail

      With the convenience of IncrediMail's online gallery (from which you can easily add new sounds for use in your messages) comes some limitation in selection, of course.

You can not only add custom MIDI or WAV files (other formats are, alas, not supported) to your IncrediMail Style Box, this is almost as simple as using IncrediMail's gallery, too.

To add your own MIDI or WAV file to the IncrediMail Style Box:

   

  •     Click on the desired file with the right mouse button.
                Download files from the internet to your Desktop first.
  •     Select Open With | Choose Program... from the menu.
  •     Highlight IncrediMail Content Importer.
  •    Click OK.
  •     Now click Close or Show in my Style Box.

Add Your Custom Sound File as Background Music

Now you can use the newly added sound file as background music in an email, for example.

Disabling Typing sound in IncrediMail

            If, we cannot compose our emails on a Remington every day, it's good to hear a hard-hitting typewriter's sound at least. Is it not?

then All right. IncrediMail can sound off each key pressed — but you can turn off the typing sound swiftly, permanently and silently.
 

Disable the Typing Sound in IncrediMail

Steps to turn off the typewriter sound as you type an email in IncrediMail:
  •     Click the Typing button in the toolbar while composing a message in IncrediMail.

IncrediMail will remember your choice for future messages. You can always turn typewriter sounds back on by clicking that same Typing button again.

You can also turn off the typing sound without creating a new message first:
  •     Select "Tools" | "Options" from the menu in IncrediMail.
  •     Go to the "Effects" tab.
  •     Make sure "Play Typing sounds" is not checked under Sounds.
  •     Click "OK".

Adding Signature in IncrediMail

               You may have a signature letter in IncrediMail, and your prose is certainly unique, but a good old signature at the end of emails you write is never out of place. Those few lines offer space for your favorite quote, a link to your site or blog, or maybe some other contact information, too.

In IncrediMail, setting up a signature (or many) is easy, if you know where to look for the necessary tools.
 

Create a Signature in IncrediMail

Steps to set up an email signature in IncrediMail:
  •     Click New Mail to create a new, empty message in IncrediMail.
  •     Select Tools | Signature | New Signature... from the menu.
  •     Type the desired signature text in the box with the example.
               You can use the formatting toolbar to add images, icons and text styles to your signature.
        
               Try to keep the signature to 4 to 7 lines of text, however, and use the standard signature delimiter that sets it apart from regular message text.
        
                Alternatively, create a handwritten signature in the drawing area.
  •     Click Save.
  •     Click OK.

Enable Address auto complete

      Good thing computers are so good in remembering address! Good thing about computers are so fast in typing!

In IncrediMail, you can take advantage of these two aspects of your computer's forte by having it complete addresses and names from your address book as you type them. This means you just have to type a few characters maybe only one in the To: or Cc: field when addressing an email and can select from a list of matching contacts IncrediMail automatically picks from your address book.

Steps to tell IncrediMail to present matching contacts from your address book:
  •     Select "Tool" | "Options"... from the menu in IncrediMail.
  •     Go to the "Message" tab.

Protect your mails in IncrediMail

         Separate Windows Accounts are Not Enough ?  guess you don't want other people who have access to your computer — legitimate access, of course, because they're family, friends and colleagues, for instance — to have access to the emails it holds as well.

If this is true you have, of course, set up a distinct Windows account for each user so that everybody can have their own wallpaper, and so that emails and documents are kept separate. This is very well and good, but it is not enough to protect your emails.
 

Keep Your Email Private in Windows

Steps to keep your emails even as files on the disk private from the eyes of other users:
  •     Locate the folder in which your email program keeps mail.
  •     Click on it with the right mouse button in Windows Explorer.
  •     Select Sharing and Security... from the menu.
  •     Go to the Sharing tab.
  •     Make sure Make this folder private is checked under Local sharing and security.
               If this option is grayed out, see below for options.
  •     Click OK.

This prevents other users from all access to the folder. You mail is safe as long as nobody can log on to your Windows account.

Protect your Identities: IncrediMail

               Emails are a sensitive and personal matter. you don't want to read others, and don't want others to read yours and send replies in your name.

       Fortunately, IncrediMail allows me to protect my Identity with a password for some security. The emails are still stored in plain text on the hard disk, so they can still be accessed with some sophistication. It's not as easy as starting IncrediMail any more, though.

  •     Select File | Identities | Manage Identities... from the menu in IncrediMail.
  •     Highlight the desired identity.
  •     Click Properties.
  •     Type your new password under both Password: and Confirm Password:.
  •     Click OK.
  •     Make sure Choose an Identity on startup is checked.
  •     Click Close.

Restore missing folders: IncrediMail

            If you store your messages in custom folders, that is, where you expect to find them. What if the messages are missing — because the entire folders are no where to be seen in IncrediMail?

Possibly, not all is lost. IncrediMail can lose track of your folder layout without losing the folders or their contents. Fortunately, bringing them back is usually easy.
 

Recover IncrediMail Folders That Have Mysteriously Disappeared

Steps to bring back custom folders IncrediMail fails to show in the folder list:

  •     Go to your IncrediMail data folder in Windows Explorer.
  •     Make sure IncrediMail is shut down.
  •     Open the Identities folder.
  •     Open the folder with the long ID number.
           If you have more than one folder with an ID number, perform the steps below for each.
  •     Open the Message Store folder.
  •     Delete the Folders.imm file in it.
  •     Open IncrediMail.

Delete Address from Auto complete list

                IncrediMail remembers every email address you type or use to send a message. Usually, this comes as a godsend and save lots of repeat typing when IncrediMail suggests likely matches when you start typing an address in the To: field of an email messages.

Not all suggestions are always necessary, over time a lot of email addresses appear in the auto-complete list that you have only needed once, and some mistyped or old addresses show up, too. It sure would be nice if there was a way to get rid of them. Unfortunately, you can't delete auto-complete items individually.

What you can do, though, is remove the complete "temporary" list of addresses the auto-complete list draws from. Since this temporary list is only one of the sources for auto-completion — the other is your IncrediMail address book —, you won't lose all addresses or the comfort of automatic completion. If you make sure all contacts you write to repeatedly are in the address book, only the unneeded and buggy addresses will go.

Steps to remove addresses from the IncrediMail auto-complete list:
  •     Make sure all important and often used contacts are in your IncrediMail address book.
  •     Open your IncrediMail data folder in Windows Explorer.
  •     Open the Identities folder.
  •     Go to your identity's folder.
           If you have more than one IncrediMail identity, repeat the following steps for each.
  •     Enter the AddressBook folder.
  •     Highlight the TempContacts.imb file.
  •     Press Del.

A quick way to add Emoticon

              IncrediMail comes with a large selection of graphical and animated smileys, easily inserted with a few mouse clicks.But if you use the winking smiley 10 times out of 10  or if you want to repeat an emoticon for super emphasis, there is an even faster way to add it to your message.

    "Press Ctrl-E".

IncrediMail also provides a special toolbar that collects all your recently used emoticons for easy and fast access.

  •     Select "View" |" Emoticons Bar" from the menu to make sure it is checked.
  •     Click on the desired smiley in the emoticons toolbar.

Different languages spell check

             No matter which language you type your emails in, you make spelling mistakes. Fortunately, the IncrediMail spell checker is always there to help you — no matter which language you type your emails in.

       IncrediMail comes with a spell checking dictionary for your language pre-installed, but it's easy to expand its spelling knowledge to many other languages.

 
Install Additional Spell Checker Dictionaries in IncrediMail

 
Steps to install additional languages and dictionaries for the IncrediMail spell checker:
  •     Download the desired dictionary from IncrediMail's site.
  •     Double-click on the downloaded .exe file.
  •     Press Next.
  •     Click Finish.

If you write most of your emails in a particular language, you can easily make IncrediMail use it as the default for spell checking.

Installing letter theme in Email

           Have you ever received an email using stunning background or funny animations in IncrediMail and wished you could use this content in your messages, too?

If the sender used an IncrediMail letter for the message, you can. IncrediMail allows you to extract and save the letter employed in an incoming message for use in your own emails.
Install an IncrediMail Letter from Email You Have Received

To use and install the IncrediMail stationery from an email you have received:


  •     Open the message in IncrediMail.
  •     Click the New button in the header area.
  •     Select Add Letter: '<letter name>' to '<Style Box collection name>' collection from the menu.
  •     Click Close if the Adding Content dialog does not close automatically after the installation has finished.


These steps can be followed for IncrediMail installed in Windows XP, 2000, 98 etc

How to view source of mail

            Normally, you are more interested in an email's text than its source. But sometimes, taking a look at the source can be interesting, or necessary.Especially when something does not work right, the message source can often lead to a clue what went wrong, and the source often reveals a spammer's ISP, too. 


The source of an email can be scary. Instead of nice fonts, beautiful images and a clean layout you see nothing but characters, often in weird arrangements.

So why would you want to do this? It helps fighting spam, and you can feed the source into SpamCop to easily report abuse efficiently. Unfortunately, displaying the message source is not particularly simple in IncrediMail, but fortunately it works nevertheless.

Steps to see the full source of an email in IncrediMail:
  •     Select the message in IncrediMail.
  •     Select File | Save As... from the menu.
  •     Make sure the Mail (*.eml) file type is selected.
  •     Save the file to a folder (I suggest simply using the Desktop).
  •     Open the file you just saved in a text editor (Notepad will do fine). 
These steps can be followed for IncrediMail installed in Windows XP, 2000, 98 etc
