How to Backup Your Web-Based Email Account Using Thunderbird?


If the Gmail scare earlier this week has you thinking about backing up your Gmail or other web-based email account, we’re here to help. Read on to learn how to backup your web-based email using open source email application Thunderbird.

In case you missed it, earlier this week Gmail suffered an unusual series of glitches that led to 0.02% of Gmail users finding their inboxes totally empty. The good news is that the glitch was fixed and no actual data was lost (they restored the missing email from tape backups that were unaffected by the issue). While that’s wonderful nobody lost any important emails it’s also very unsettling. Not every “Oops, we lost your data!” scenario ends so well. Today we’re going to walk you through backing up your email using the free and robust open-source application Thunderbird.


What You’ll Need



You won’t need much for this tutorial, just a few minutes to set it up and the following:
    * A copy of Thunderbird for your OS (available for Windows/Mac/Linux)
    * Login information for your web-based email provider.
For this tutorial we’ll be using Thunderbird for Windows and Gmail. The steps we’ll be guiding you through, however, will work for Thunderbird on any OS and for any web-based email provider which allow you to access your email through a third-party client—in fact, Thunderbird does an excellent job detecting the necessary information just from your email address.

Enabling Remote Access and Email Server Information



Depending on the web-based email you’re using you may need to enable access before proceeding. In the case of Gmail, our test service for this tutorials, you’ll need to navigate to Options –> Mail Settings –> Forwarding and POP/IMAP and then toggle the following settings 1. Enable POP for all mail and 2. When messages are accessed with POP keep Gmail’s copy in the Inbox.

Installing and Configuring Thunderbird



Installing Thunderbird is straight forward but there are a few things you may want to consider based on your needs and desire for additional backups. If you’re a Windows user you may consider opting to install Thunderbird portable so that you can have a totally self-contained installation suitable for transferring/backing up to a USB drive. Also, depending on which backup service you use and how much space you have, you might consider installing Thunderbird to your Dropbox (or similar service) directory so that your local backup will also be stored remotely.

If you’re satisfied with a local backup (or your backup service nabs your entire drive at one time) go ahead and proceed with the installation without any modifications.
After running Thunderbird for the first time, navigate to Tools –> Account Settings and then click on Account Actions (located in the lower left corner).



Fill in your username and password then click continue. For a significant number of web-mail providers Thunderbird will auto-populate the server information (courtesy of the Mozilla ISP Database) as seen in the screenshot below. We’re going to switch from the default of IMAP to POP. If you were planning on using Thunderbird as your daily email client, IMAP would be a vastly superior choice (IMAP allows you to work with email like a remote access file share instead of downloading it to your local machine). For our archiving purpose, however, POP is a superior choice as it will easily and with no fuss download all the old email messages (not just the new ones). If you find yourself wanting to use Thunderbird as a full time client, you can easily switch back to IMAP once you have an archive of your old emails.



Click Create Account and you’re in business. Thunderbird will authenticate your account against the server and warn you if the authentication fails. Baring that, you’ll find yourself back at the Account Settings screen.

While we’re still in the Account Settings screen we need to check a few very important settings before leaving. Click on Server Settings under your account login name on the left hand side of the window. We need to make a few adjustments here. Change the Check for new messages every 10 minutes setting to 1 minute. For the initial download we need the frequency of checks really high. Also make sure Leave messages on server is checked and uncheck For at most… and Until I delete them.



Before we leave the configuration stage, click on the Junk Settings at the top of the left hand column and uncheck Enable adaptive junk mail controls…, the Thunderbird spam filtering is great when you’re using it as a primary client but we don’t want it to do anything but a straight download of our messages. Under Disk Space make sure Don’t delete any messages is checked (it should be, by default). This operation is totally backup-oriented. We don’t want Thunderbird getting any wise ideas and deleting anything.

When you’re done click OK in the corner and return to the main Thunderbird dashboard. If Thunderbird isn’t already downloading email, click Get Mail in the corner to start the process.




At this point everything is on autopilot. Thunderbird will continue to check your email every minute and download new messages bit by bit. Here is one of the quirks of POP downloading, each batch will be roughly 400-600 messages in size. You’ll never see a massive download of all your email at one time. Be prepared, if you have a big account, to leave it running for awhile. In the case of our test account it took 37 batches to download all 17,000+ emails dating back almost a decade.

When the downloading is done you’ll have an up-to-date backup of your Gmail (or other web-based email) account. All you need to do in the future is run Thunderbird to grab the newest emails and update your archive.

Email priority in Mozilla ThunderBird

                      Some people's mail is more important than all the other junk in the Inbox. In Mozilla Thunderbird, you can assign high priority to all messages from one sender automatically. As in this feature will help you in sorting out mails easily according to your convenience.

In this article we are going to learn the same, that is how to set priority for mail's from particular person in Mozilla ThunderBird. This steps are easy to perform and quickly set the feature.

To set up such a top priority filter in Mozilla Thunderbird:

    * Select "Tools" | "Message Filters"... from the menu.

    * Click the "New"... button.

    * Give the filter a meaningful name ("Office --> Top Priority" for example).

    * Select Sender from the Subject search criteria drop-down menu.

    * Leave contains untouched.

    * Enter the top priority "person's email address".

    * Under Perform these actions:, select "Change the priority to".

    * Make sure highest is selected.

    * Finally, click "OK".

If you have multiple filters, make sure the top priority filter is above any other filter that takes action when a message from your important sender arrives.


These steps can be followed for Mozilla ThunderBird  installed in Windows XP and Windows 7.

attachment reminder in Mozilla ThunderBird

                 How many times have you sent or received an email which promised a file that was never attached? The Thunderbird reminder scans your email text then prompts you before the message is sent.The new attachment reminder looks for the word attachment (and other words like file types) in the body of your message and reminds you to add an attachment before hitting send in Mozilla ThunderBird.


Steps to be followed:

  • Click on "Tools" Tab and select "Options".
       

  • Now, Select "Advanced" tab, under which select "General"
       

  • Select "Config Editor" and Then search for sting "Filter on mail.compose.attachment_reminder_keywords "
  • Right click oon the string and select "Modifiy"
 

  • Now you can add keywords or remove keywords.
 
 
  These steps can be followed for Mozilla ThunderBird installed in Windows XP and Windows 7.

ReminderFox Addon for Mozilla ThunderBird

             ReminderFox places reminders and to-do items right before your email-hungry eyes in Mozilla Thunderbird. ReminderFox reminders attach to messages neatly, but unfortunately cannot take email status in account ("alert me if I haven't replied to this email in the next three days")

Inserting picture into Email body in Mozilla ThunderBird

           Sending images as attachments is fun, but sending them inline in the message can be even more fun. To do this, you need not even include the image in your mail directly. It's enough to point to the image somewhere on the Web.

Of course, you can also copy the image location in an Internet Explorer, Safari or Opera window. Now you can include the image in an email message in Mozilla Thunderbird:

To insert a picture in the body of an email so it will be sent inline with Mozilla Thunderbird:

    * Create a new message in Mozilla Thunderbird.
    * Position the cursor where you want the image to appear in the body of the email.
    * Select Insert | Image from the menu.

    

    * Use the Choose File... selector to locate and open the desired graphic.
          o If your image is larger than some 640x640 pixels, consider shrinking it to more handy proportions. 



    * Click OK.

Adding Signature in Mozilla ThunderBird

             Creating a signature in Mozilla Thunderbird isn't as simple as typing one into the program, but it's not hard to do. Follow these steps to create and upload a signature into Mozilla Thunderbird so you can share it with all of your contacts. 
Steps to be followed:
   
1. Decide on your signature's content. Many people like to include links to their business and personal contact information like title, address, phone number and instant messenger username. While the options are limitless, a simple closing with your name also works.
   
2.Launch the Notepad application or any other text editor.
   
3. Type your signature in the text editing program. To create a simple signature, type your content as you want it to appear. Code it in HTML if you want a more dynamic signature. Be sure to include all the appropriate tags.
   
4.Save your new signature. If the signature file contains only a plain signature, save it as a text file. Save HTML signatures as HTML files.
   
5. Open Thunderbird. Select Tools and Account Settings from the program's menu. Click on your account's email address. Check the Attach This Signature option, click Choose, browse your hard drive for your signature file and attach it by pressing Open. Click OK in the Account Settings panel to save your changes.
   
6.Test your signature by sending an email to another email address. Checking that your signature works before using it with your contacts is a sensible safeguard.

Tech Update: Mozilla working on Thunderbird 3.1.7

            Mozilla corporation is currently distributing an update to the popular desktop email client Mozilla Thunderbird. The new version of the email program has not been officially announced yet, this will be done once the distribution to mirror servers worldwide has been completed.


This also means that there is no official release log yet, only the beta release notes are available and they list several fixes to improve stability and security of the email client, as well as several fixes to the program’s user interface.



The security fixes alone should be reason enough for Thunderbird users to update the email client as soon as the new version gets released by the development team.



A quick look at Bugzilla lists a total of 84 different bugs that have been fixed in Thunderbird 3.1.7 including a total of 26 different critical issues and one blocker issue. Most issues listed are related to crashes in the email client.



As part of Mozilla Thunder bird ongoing security and stability update process, we strongly recommend that all Thunderbird users upgrade to these releases. If you already have Thunderbird 3.1 or 3.0, you will receive an automated update notification within 24 to 48 hours. You can also manually fetch this update by selecting "Check for Updates..." from the Help menu.


Thunderbird users who do not want to wait until the new release has been officially announced can download the new version from the Mozilla  server, one of the worldwide mirror servers, or sites like Softpedia which usually carry only the English language version.

Issue with forwarding mails in Mozilla Thunder Bird.

How to include the previous message text when e-mails are forwarded in Thunderbird

         In Thunderbird, Unless you change the settings, when you forward a message with Thunderbird it will include the forwarded message as an attachment. generally we prefer the text to appear in side the email text body, But how is it possible. so follow below steps to fix it.

This is easy to change.

   1. Click on the Tools menu

   2. Select Options

   3. Select Composition

   4. Select the General tab

   5. At the top change Forward messages: “As Attachment” to “Inline”

   6. Click OK

Your forwarded messages should now include the text of the forwarded message in the body of the email just below any message text that you send thru Mozilla Thunderbird.

These steps can be followed on Windows XP and Windows 7.

Mozilla ThunderBird: Keyboard shortcuts

Most Used Keyboard shortcuts in Mozilla Thunderbird

                Knowing the most useful keyboard and mouse shortcuts for your e-mail client can cut down on writing time and increase productivity. But in order for shortcuts to make your job easier, you'll need to commit them to memory. Printing out this document and keeping it where you can glance at the shortcuts while you read e-mail with Mozilla Thunderbird will keep you using them until the shortcuts become automatic.



A note about command keys:
 
Mac users will find that they will need to use the [Cmd] key in place of the [Ctrl] key, and Return instead of [Enter]. It is also important to note that Mac OS reserves the function keys (F1 through F12) for its own purposes, so Function key shortcuts will likely not work on Macs. 

 
Tagging and marking shortcuts:

[M]: Mark message as read or unread (toggle)

[R]: Mark thread as read

[J]:Mark message as Junk

[Shift][J]: Mark message as Not Junk

[1]: Add or remove "Important" tag (toggle)

[2]:Add or remove "Work" tag (toggle)

[3]:Add or remove "Personal" tag (toggle)

[4]:Add or remove "To Do" tag (toggle)

[5]:Add or remove "Later" tag (toggle)

[0]:Remove all tags from selected message



Responding to and writing new e-mail messages shortcuts:

[Ctrl][L]: Forward selected message

[Ctrl][E]: Edit current message as a new message

[Ctrl][R]: Reply to message sender

[Ctrl][Shift][R]: Reply to All (replies to message sender and all other recipients)

Note: The reply and forward shortcuts are likely to be the most used of this group.



Reading e-mail Shortcuts:

[Ctrl][Shift][F]: Search messages

[Ctrl][F]: Find in current message (open a search window at the bottom of the current e-mail message)

[Ctrl][O]: Open e-mail message in new window

[Ctrl][W]: Close current open e-mail message window

[Ctrl][P]: Print currently selected e-mail message

[F]: Go to next message (from any Thunderbird screen)

[N]: Go to next unread e-mail message (from any Thunderbird screen)

[B]: Go to previous e-mail message (from any Thunderbird screen)

[P]: Go to previous unread e-mail message (from any Thunderbird screen)

Note: These shortcuts are best ones if you are dealing with lots of emails.


Send and receive shortcuts:

F5 [Ctrl][T]: Send and receive all messages for all e-mail accounts

[Ctrl][Shift][T]: Get new messages for all e-mail accounts

[Esc]: Stop current action

[Ctrl][M]: Write new e-mail message

[Ctrl][Enter]: Send current message now

[Ctrl][Shift][Enter]: Send current message later

[Ctrl][Q]: Exit Thunderbird

       This is a handy addon that lets you display all available address books in Thunderbird sidebar. This lets you easily access all your contacts from the main window, quickly edit contact details, drag’n drop files on top of a contact to send it as an attachment and more.

Contacts Sidebar displays all available address books in a sidebar in the 3-pane-window of Thunderbird. It makes all your contacts easy accessible from the main window to quickly write messages, or to edit the properties of a contact card.

Thunderbird Message Filter Import/Export

Thunderbird Message Filter Import/Export



      If you have created filter for your profile to move the specific incoming emails to the desired folders or the locations and you either changed the computer or you have reinstalled the Thunderbird. You must take backup of all your emails; however the filters (Rules) will not be copied to the backup file.

  You can separately take backup of the Thunderbird filters (Rules) and import them later where ever required.


By default Thunderbird does not have such option available however you can download an Add-on from Mozilla Thunderbird and install it to the existing Thunderbird application to get Import/Export menu option under tools menu.
Download the Message filter import/export addon from the below link:
https://addons.mozilla.org/en-US/thunderbird/addon/2474/  and save the add on on your desktop.

Steps:
1). Open Thunderbird and click on Tools.
2). Select Manage Add-Ons and click on Install button.
3). Select the location where you saved the above downloaded Add-on and click 
      on OK to install it.
4). Restart the Thunderbird.
5). Click on Tools, you see Message Filters menu option is added.



6). Select on Message Filters option and click on Export Filters and save 
      the file whichever location you want to save it to.
7). Now the Message filter file is saved and ready to export to any location.
8). To the import to the new location repeat the steps from step-5 and s
      elect import instead of export filters and proceed with the wizard.

NOTE: By importing filters all existing filters will be replaced. So make sure you don’t have existing filters in you account or else be ready to lose them.

How to create Filters in Mozilla Thunderbird

Creating Filters in Thunderbird


          



      Having a big flow of e-mail's dropping in your inbox can be time consuming to read, to deal with this and save yourself some time, and be able to read the right e-mails first, you might want to add a filter so Thunderbird can place the different mails in different folders. In this article I will try to show you how to make such a filter.


 
 
First thing you need to do is create a new folder, I will use the folder "Techsupp247" as the target mail folder.



As you see I've highlighted "Local Folders", right click in "Folders" menu and choose "New folder", you will now get this window.



Name your folder (I used "Techsupp247", choose whatever you like), choose where it should be located and press "OK".  If things are done right, you should now have a new subfolder under "Local folders". You can also choose to make a new folder during the setup of making a filter, but I found it more easy to make the folder first.



To setup a filter in Thunderbird, go to Tools, and click "Message Filters". The "Message Filters" window will pop up. Click New, and the Filter Rules dialog will open.



Make sure you type a descriptive Filter Name that you'll remember in six month - "TechSupp247" is not ideal, for example.

The best way is to explore a bit on your own for what settings you want. I made a filter which filters mail with comes to the mail address "emailtexpert@techsupp247.com", and place them in the folder "TechSupp247 and labels it as Important (gives it a bright, easy to spot color).  When you are done, press "OK", and you'll get this window:



Massage rules or filters is also available with other email clients like Microsoft office outlook etc

How to Backup and Restore profile on Mozilla Thunder bird

Locate your profile folder

     * On Windows XP : Profile folder: C:\Documents and Settings\[User Name]\Application Data\Thunderbird\Profiles\xxxxxxxx.default\
  
  * Windows 7: Profile folder: C:\users\[User Name]\AppData\Roaming\Thunderbird\Profiles\xxxxxxxx.default\

                                      where xxxxxxxx is a random string of 8 characters.




Backing up your profile
Just follow these steps to backup your profile :

   1. Close Thunderbird completely (All windows)
   2. Make a copy of your profile folder to a CD-RW disc or a separate hard disk you can also folder on existing Hard disk itself for backup purposes.


Move an existing profile or restore a backed up profile

It's possible to move the location of a profile folder. This could be useful if you have a backed up profile folder somewhere on your hard drive and want to tell Thunderbird to use that as your profile. This section explains how to do this.

   1. close Thunderbird completely (all windows).

   2. Move the profile folder to the desired location.
               For example, on Windows XP, move the profile from C:\Documents and Settings\[username]\Application Data\Thunderbird\Profiles\xxxxxxxx.default to D:\Stuff\MyMailProfile. If you are reading these instructions because you want to restore a previously backed up profile, this step isn't necessary. Just note the current location of the profile you want to restore.

   3. Open up profiles.ini in a text editor. The file is located in the application data folder for Thunderbird:
       
          *   On Windows Vista/XP/2000, the path is %AppData%\Thunderbird\
      
        * On Windows 95/98/Me, the path is usually C:\WINDOWS\Application
          Data\Thunderbird\
         
   4. In profiles.ini, locate the entry for the profile you've just moved. Change the Path= line to the new location. IMPORTANT NOTICE: If you switch from a relative path to a non-relative one, the direction of the slashes may need to change (e.g. in Windows, non-relative paths use backslashes, whereas relative ones use forward slashes).
  
   5. Change IsRelative=1 to IsRelative=0.
  
   6. Save profiles.ini and restart Thunderbird.

      This steps will assist you set up the Mozilla Thunderbird e-mail client to work with your e-mail account.






To Set Up Your E-mail Account in Mozilla Thunderbird

   1. In Mozilla Thunderbird, from the Tools menu select Account Settings.



   2. Select Email account, and then click Next.






   
3. Enter your name and e-mail address.
 





   4. Select POP or IMAP as the type of incoming server you are using. Click Next.






   5. Enter your e-mail address for the Incoming User Name, and Outgoing User Name. Click Next.




   6. Enter a name for your email account and click Next.





   7. Verify your account information and click Finish.

Please follow same steps for Windows Xp and also Windows 7

Problems Opening PDF Attachments in Mozilla Thunderbird

 
      Mozilla Thunderbird is a free e-mail client that brings all your web, corporate and exchange mail through one exchange server that routes the mail directly to your desktop. Although Mozilla Thunderbird is not as popular as Microsoft Outlook (the most popular email client) it has a devoted user base. If you are having trouble opening PDF attachments in Thunderbird, there are a few root causes that could be impacting its performance.



    
Adobe Acrobat is not Installed
 
   1. The most standard issue you may run into when trying to open PDF files in Mozilla Thunderbird is that you do not have the  reader. Though this may seem like a painless step, if you have recently upgraded, converted, or reinstated your operating system, you may not have Adobe Reader installed anymore.

Associations Claim to Be Reset
   
    2. If you have Adobe Reader installed, but you still can't open PDF files, your attachment associations may need to be reset. Associations can become fused up after downloading add-ons or downloading software updates. To reset these associations back to default option, go to the "Tools" menu and select "Options.


 



 Then click on the "Attachments" menu and select the reset associations button.
