How to make Outlook work faster

            If Microsoft Outlook loads slower than dirt and hangs every time you try to do anything, there’s a very good chance that your problem is an Outlook plug-in gone haywire—but we can easily disable them.

You’ll want to be careful not to disable an add-in that you actually need, but I’ve used this technique many times over the years to make Outlook run much faster. 

Open up the Trust Center by navigating to Tools –> Trust Center on the menu. 


On the left-hand pane, choose Add-ins, and then near the bottom of the window you’ll see a button that will let you manage your COM Add-ins. 



From this window, you can disable anything that you aren’t using. My recommendation would be to start off by only disabling non-Microsoft add-ins, restart Outlook and see if that solves your slowdown problems. 




You’ll notice that some of the add-ins in the list won’t let you remove them under Windows 7 or Vista—for instance, if you want to remove Microsoft Outlook Mobile Service, which lets you send text messages to cell phones—you will need to close Outlook and re-open it as administrator.



If you are using Windows 7 and have it pinned to your taskbar, you can close Outlook and then hold down the Ctrl+Shift keys while you click on the taskbar icon. Repeat the steps above, and you should be able to remove the other Add-ins without problems.

Blue arrow on Folders in Outlook 2010

            What does the blue arrow icon pointing left and right on a folder mean? Is there something you need to worry about it? What is this icon all about?


This blue double-ended or 2-way arrow icon means that the folder is part of a shared source you are connected to and thus not part of your own mailbox. A shared source could be a mailbox belonging to someone else, a Public Folder, an Internet Calendar or a SharePoint library.

This overlay icon has been introduced in Outlook 2007 and is also used in Outlook 2010. It’s only a visual aid and doesn’t for instance indicate whether or not the folder is cached. Whether or not a shared folder can be cached depends on the type of shared folder and your version of Outlook.
 
 
Note that the blue arrow icon isn’t shown on default mail folders which already hold an overlay icon of their own such as the Inbox, Sent Items and Junk E-mail folder.This display shown is from Outlook 2010 installed in Windows 7 and it is same if you have outlook 2010 installed in Windows XP.

Known Issue: "Folder full Issue" in Outlook

     When you try to delete a folder or move a folder, you get;

“Cannot Move The Items. The Folder is Full”.

you get this even with folders that have nothing in them.


Permanently deleting (SHIFT+DELETE) doesn’t work either and results in the error;

“The message interface has returned an unknown error. If the problem persists, restart Outlook.”

How can you get Outlook back to work again?

This means your pst-file or ost-file either has reached its maximum size or holds a corruption.

An easy fix could be to empty your Deleted Items folder and try again. If that doesn’t work, the first thing you should do is verifying whether you are working with a pst-file or ost-file in ANSI format or UNICODE format.

Second, look up the size of the file as reported in Windows Explorer. You can find the location via;

File-> Data File Management

Maximum size

There are several limits that you could have reached;

    * If you are in ANSI format and the reported file size is around 1.8GB, you have reached the absolute maximum size of the pst-file. In that case, you’ll have to use the pst2gb tool to crop the oversized file to a smaller size so it can be accessed again and you can delete files, archive it or move it to a new pst-file in outlook.

    * If you are in UNICODE format and the reported size is around 4GB, you have reached the absolute maximum file size of your disk format (FAT32). Converting your disk format to NTFS is highly recommended.

    * If you are in UNICODE format and the reported size is around 20GB, you have reached the default maximum files size of the pst-/ost-file. You can (temporary) increase this default limit so you can move around or delete files. After this, it is recommended to remove the modifications again unless you have a specific need to really let this pst-file in outlook grow any larger (think about back-up and restore time as well)

Known Issue: Unable to hyperlinks in Outlook

           When trying to click on a hyperlink within an email you get the following error;

“This operation has been cancelled due to restrictions in effect on this computer. Please contact your system administrator.”

you are the administrator of this computer. How can use use these deactivated links again?

This usually happens when there is no default Internet browser (properly) registered in Windows.

To recover, it often is enough to reassign a default browser via;

    *  Windows 7

      Click on Start then select Default Programs

    * Windows XP

      Click on start and then select Control Pane, Now select Set Program Access and Defaults

When you have multiple browsers installed, it sometimes helps to set the other browser as the default, apply the changes and then set your preferred browser as the default again.

If you only have a single Internet browser installed in Windows Vista or Windows 7, you can also deselect all the defaults for the browser by pressing “Choose defaults for this program”, save the changes and then select them all again.

Reset the browser

Depending on your Internet browser, you might additionally need to reset the browser. For Internet Explorer this can be done in Control Panel-> Internet Options. When you use Internet Explorer 6 or lower, you’ll find this option on the Programs tab. For Internet Explorer 7 and 8, you can find this option on the Advanced tab.

For Firefox, open a Run command and type the following (note the spaces);
firefox -safe-mode firefox-safe-mode

In the dialog that pops-up select the option “Reset all user preferences to Firefox defaults” and press “Make Changes and Restart”.

How to Export and Import Email Messages in Windows Live Mail

Information
This article will show you how to export (backup) and import (restore) all or select message folders that contain your email messages in Windows Live Mail.

This can be done on Windows XP, Vista and Windows 7.



OPTION ONE

Export or Backup Email Messages in Windows Live Mail

1. Create a New Folder on your desktop, and name it what you like.

NOTE:
This is the folder that you will be exporting your message folders that contain your email messages into.

2. Open Windows Live Mail.

3. Click on the Tools icon drop down arrow, select Export email, and click on Email messages. (see screenshot below)



4. Select Microsoft Windows Live Mail, and click on Next. (see screenshot below)



5. Click on the Browse button. (see screenshot below)



6. Navigate to and select the New Folder that you created in step 1, then click on OK. (see screenshot below)



7. Click on the Next button. (see screenshot below)



8. To Export All Message Folders from All Email Accounts

A) Select All folders, and click on Next. (see screenshot below)



B) Go to step 10.

9. To Export Selected Message Folders from Selected Email Accounts

A) Select (dot) Selected folders, press and hold the CTRL key and select (left click on) the random message folders that you want to export, release the CTRL key, then click on Next. (see screenshot below)



10. Click on the Finish button. (see screenshot below)



11. The selected message folders have now been exported into the New Folder from step 1. Save the New Folder to a safe location. This is the folder that is needed to be able to import or restore your messages in OPTION TWO below.



OPTION TWO

Import or Restore Email Messages in Windows Live Mail

1. Open Windows Live Mail.

2. Click on the Tools icon drop down arrow, and click on Import messages. (see screen shot below)



3. Select Windows Live Mail, and click on Next. (see screenshot below)



4. Click on the Browse button. (see screenshot below)



5. Navigate to and select the New Folder from OPTION ONE that contains your exported message folders, then click on OK. (see screenshot below)



6. Click on the Next button. (see screenshot below)


7. To Import All Message Folders

A) Select (dot) All folders, and click on Next. (see screenshot below)



B) Go to step 9.

8. To Import Selected Message Folders

A) Select (dot) Selected folders, press and hold the CTRL key and select (left click on) the random message folders that you want to import, release the CTRL key, then click on Next. (see screenshot below)



9. Click on the Finish button. (see screenshot below)



10. At the bottom of left pane of Windows Live Mail, expand Storage folders and Imported Folder. Your imported messages folders from step 7 or 8 will be sub folders in Imported Folder. You can open each imported message folder to see your imported email messages, or move them to any other folder.



Tip
If you do not see Storage folders, then you can click on the View tab and click on the Storage folders toolbar item to highlight it and have it available now. (see screenshot below)



This can be done on Windows XP, Vista and Windows 7.

How to See Messages in Conversation or List View in Windows Live Mail 2011

This will show you how to turn conversations on or off to see your messages in conversation (on) or list (off) view in Windows Live Mail 2011.

This article can be used for Windows XP, Vista and Windows 7.

EXAMPLE:
Conversation and List View

 




Here's How:

1. In Windows Live Mail 2011, click on the View tab, then click on the Conversations ribbon button. (see screenshot below)



2. To Have Conversation View

A) In the Conversations drop down menu, click on On.

NOTE:
This is the default setting.

3. To Have List View

A) In the Conversations drop down menu, click on Off.

Outlook: Work Offline Issue

             Outlook is showing that it is working Offline. Strangely, sometimes messages still do come in. Why is this and how can you properly set it back Online and reconnect to the server again?

There appears to be some recurring confusion about whether or not Outlook is in Offline Mode. This article is about how to verify whether or not you truly are in Offline Mode and how to reconnect. When you continue to have issues connecting start with; Send/Receive errors.

Work Offline icon and Status bar

The main confusion is about Work Offline icon which is being displayed on the Send/Receive tab in the Ribbon in Outlook 2010; you’ll find a globe with a red cross in front of it. This doesn’t mean you are in Offline Mode as the icon is always like this. The icon doesn’t change to for instance a globe without a red cross when you are Online.



 When you actually are in Offline Mode, the icon will show highlighted and your Status Bar will also show “Working Offline”. Clicking on the icon then will bring you back to Online Mode.



In Outlook 2007 and previous, there will be a tick mark in front of the Work Offline option in the File menu.



This usually happens with IMAP accounts when server time-outs have occurred. In that case, there will also be another icon visible on the Send/Receive tab called “Connect to Server”. When you click on this button, Outlook will attempt to reconnect again and when successful, the icon will be gone again and the “Disconnected” warning will be gone from the Status Bar.
