Backup Your Web-Based Email Account Using Thunderbird

How to Backup Your Web-Based Email Account Using Thunderbird?


If the Gmail scare earlier this week has you thinking about backing up your Gmail or other web-based email account, we’re here to help. Read on to learn how to backup your web-based email using open source email application Thunderbird.

In case you missed it, earlier this week Gmail suffered an unusual series of glitches that led to 0.02% of Gmail users finding their inboxes totally empty. The good news is that the glitch was fixed and no actual data was lost (they restored the missing email from tape backups that were unaffected by the issue). While that’s wonderful nobody lost any important emails it’s also very unsettling. Not every “Oops, we lost your data!” scenario ends so well. Today we’re going to walk you through backing up your email using the free and robust open-source application Thunderbird.


What You’ll Need



You won’t need much for this tutorial, just a few minutes to set it up and the following:
    * A copy of Thunderbird for your OS (available for Windows/Mac/Linux)
    * Login information for your web-based email provider.
For this tutorial we’ll be using Thunderbird for Windows and Gmail. The steps we’ll be guiding you through, however, will work for Thunderbird on any OS and for any web-based email provider which allow you to access your email through a third-party client—in fact, Thunderbird does an excellent job detecting the necessary information just from your email address.

Enabling Remote Access and Email Server Information



Depending on the web-based email you’re using you may need to enable access before proceeding. In the case of Gmail, our test service for this tutorials, you’ll need to navigate to Options –> Mail Settings –> Forwarding and POP/IMAP and then toggle the following settings 1. Enable POP for all mail and 2. When messages are accessed with POP keep Gmail’s copy in the Inbox.

Installing and Configuring Thunderbird



Installing Thunderbird is straight forward but there are a few things you may want to consider based on your needs and desire for additional backups. If you’re a Windows user you may consider opting to install Thunderbird portable so that you can have a totally self-contained installation suitable for transferring/backing up to a USB drive. Also, depending on which backup service you use and how much space you have, you might consider installing Thunderbird to your Dropbox (or similar service) directory so that your local backup will also be stored remotely.

If you’re satisfied with a local backup (or your backup service nabs your entire drive at one time) go ahead and proceed with the installation without any modifications.
After running Thunderbird for the first time, navigate to Tools –> Account Settings and then click on Account Actions (located in the lower left corner).



Fill in your username and password then click continue. For a significant number of web-mail providers Thunderbird will auto-populate the server information (courtesy of the Mozilla ISP Database) as seen in the screenshot below. We’re going to switch from the default of IMAP to POP. If you were planning on using Thunderbird as your daily email client, IMAP would be a vastly superior choice (IMAP allows you to work with email like a remote access file share instead of downloading it to your local machine). For our archiving purpose, however, POP is a superior choice as it will easily and with no fuss download all the old email messages (not just the new ones). If you find yourself wanting to use Thunderbird as a full time client, you can easily switch back to IMAP once you have an archive of your old emails.



Click Create Account and you’re in business. Thunderbird will authenticate your account against the server and warn you if the authentication fails. Baring that, you’ll find yourself back at the Account Settings screen.

While we’re still in the Account Settings screen we need to check a few very important settings before leaving. Click on Server Settings under your account login name on the left hand side of the window. We need to make a few adjustments here. Change the Check for new messages every 10 minutes setting to 1 minute. For the initial download we need the frequency of checks really high. Also make sure Leave messages on server is checked and uncheck For at most… and Until I delete them.



Before we leave the configuration stage, click on the Junk Settings at the top of the left hand column and uncheck Enable adaptive junk mail controls…, the Thunderbird spam filtering is great when you’re using it as a primary client but we don’t want it to do anything but a straight download of our messages. Under Disk Space make sure Don’t delete any messages is checked (it should be, by default). This operation is totally backup-oriented. We don’t want Thunderbird getting any wise ideas and deleting anything.

When you’re done click OK in the corner and return to the main Thunderbird dashboard. If Thunderbird isn’t already downloading email, click Get Mail in the corner to start the process.




At this point everything is on autopilot. Thunderbird will continue to check your email every minute and download new messages bit by bit. Here is one of the quirks of POP downloading, each batch will be roughly 400-600 messages in size. You’ll never see a massive download of all your email at one time. Be prepared, if you have a big account, to leave it running for awhile. In the case of our test account it took 37 batches to download all 17,000+ emails dating back almost a decade.

When the downloading is done you’ll have an up-to-date backup of your Gmail (or other web-based email) account. All you need to do in the future is run Thunderbird to grab the newest emails and update your archive.

Outlook 2010: Inserting Snapshot

              Outlook 2010 has provided a wide variety of features while sending a mail from inserting another mail message as an attachment to filtering the emails. This has increased the usability of Outlook and the features provide a way to users to enhance their mailing experience. 


Pictures give more explanation than the words, taking this in view Microsoft outlook 2010 has increased its feature bank with this new snapshot feature. 

Click on Insert Menu


Click on the empty writing area to highlight the snapshot option on the ribbon.


Click on Snapshot option on the ribbon to get the available snapshots. These are snapshots of the all the open browser windows.



Click on a open dropped down list of snapshots to get it added to the email that you wish to send.  



This is the newly added feature of Outlook 2010 version.

Print Your Address Book

             When you send an email (from your home computer), the electronic address book used by Outlook Express is great. But a printed address book has its merits, too. It also serves as a physical backup, and you can take it with you in ways that are not always possible with computers, laptops, or cell phones.



If you want to print your Outlook Express address book please follow the below steps.

To print a copy of your Outlook Express address book:

1. Select Tools ---- Address Book from the Menu in Outlook Express.
2. Make sure the addresses are sorted in the desired way.
   a. To change the sort order, select View ---- Sort By from the menu and select the order that fits you best.
3. Highlight the contacts you want to print.
   a. To highlight multiple (individual) contacts, hold down the Ctrl key while clicking on them.


To highlight a block of contacts:


1. Click on the first contact in the block.
2. Hold down the Shift key while
3. Clicking on the last contact in the block.
The two selection methods can be combined.
If you want to print all address book entries, no selection is necessary.

4. Click the Print button in the toolbar.
5. Click Options to select the paper size and orientation appropriate for your (physical) address book.
6. Under Print Style, select the desired layout.
7. Memo outputs all the information about the contacts.
8. Business Card prints names, company names, email addresses and phone numbers.
9. Phone List creates a list of phone numbers (home, business, mobile, fax and others) for the contacts.
10. Click Print.

New Features of Eudora Mail

                Eudora is a wonderful email client. Over the years, the makers of Eudora have found efficient and elegant solutions to just about all email problems as they have surfaced. Eudora also has solutions for problems you probably do not have (like "MoodWatch", the amusing indicator of aggressive vocabulary), but for the most part Eudora is a flexible, fast and easy to use email program.
 
Saved Searches

Speed up your Ultra-fast searches even more by saving search criteria to use again later.

To save criteria for a message search




3.Enter your search criteria.

4.To save the search criteria, from the File menu, choose Save.


5.Give the saved file a name that makes sense to you, and click the Save button.

Minimize to Windows System Tray

Two new options were added to Eudora 7.1 for managing your email through an icon in the Windows system tray. The system tray icon allows easy access to common Eudora commands, such as Check Mail, and New Message.
To display the Display options window

1.From the Tools menu, choose Options.
2.Scroll and click the Display icon.


Minimize Eudora to the system tray—If you select this option, Eudora will display as an icon in the system tray, instead of the task bar, when the Eudora application is minimized. Double-clicking on the system tray icon restores from the minimized state.

Always show icon in system tray—If you select this option, an icon for Eudora is added to the system tray as long as the Eudora application is running.

Clicking on the system tray icon brings up a contextual menu of common commands.


From this contextual menu, you can Exit Eudora, Open (restore) Eudora, start composing a new mail message, check for new mail, set Eudora to work offline, or adjust the settings for using Eudora in the System tray.

Insert Downloadable picture

Eudora allows you to insert a URL to a picture that will display in your messages, instead of sending the graphic as an attachment.

To insert pictures and horizontal lines into the body of a message, use the Insert submenu under the Edit menu, or use the Insert Object button on the message toolbar.

You can insert an object in the middle of a line of text or between lines of text in the message body.

To insert a downloadable picture in message text

1.Move the cursor to where you want the picture.
2.From the Edit menu, choose Insert.
3.From the Insert submenu, choose Downloadable Picture.
4.In the URL of picture field, enter the URL pointing to the graphic file you would like to insert.
5.In the Alternate text field, you have the option of entering text that will be displayed if the recipient is viewing the message in a client that cannot view the picture.
6.In the URL when clicked on field, you have the option of entering a URL to a web page to link to if the recipient clicks on the picture.
7.Click OK.

The picture is inserted into the message body at the cursor position. You can continue typing text. Your recipient will see the picture right in the message body.1.To run a saved search, click the triangle to the right of the Search button

Eudora Mail

           Eudora OSE is the Open Source Edition of one of the internet’s most pioneering and enduring applications. It is a re-imagining and re-implementation of classic Eudora features on top of the Mozilla Thunderbird codebase. It is more than just an extension, as certain functionality required changes to the core of the application.

 

New Features of Eudora Email Client:

Recent Mailboxes

Eudora 7.1 keeps a history of recently used mailboxes for your convenience. This menu item lets you open a mailbox or bring an open mailbox to the front.


Recent - Opens the selected recently used mailbox. By default, this list shows the last 10 recently used mailboxes.You can customize the length of this list in the Mailboxes options.

Expanded Media for Alert Sound

The option to play a sound for alerts has been expanded to include a wide variety of sound formats, including MP3, MIDI, WMA, and even the audio inside of video formats such as MPEG, MWV, and AVI.

Play a sound for New Mail alerts

To display the Getting Attention options window

1.From the Tools menu, choose Options.
2.Scroll and click the Getting Attention icon.


Play a sound—If you select this option, a sound is played when Eudora needs attention. To select a sound file, click the long, horizontal button below the “Play a sound” option (the button is blank by default). Browse until you find your sound file. When the “Select sound file” dialog box appears, select a sound and click Open. To switch back to the default mail arrival sound, click Use Default.

Play a sound Filter action

To open the Filters window to create or modify a filter
1.From the Tools menu, choose Filters, or click on the Filters window’s tab if it is part of a visible tabbed window group. The Filters window appears, and any filters you have created are listed on the left.

2.To add a new filter, click New; to modify a filter, click an existing filter to select it.

3.Select the options for how you want the filter to be used: as an automatic filter to be invoked on any Incoming and/or Outgoing mail and as a Manual filter that can be invoked when you choose Filter Messages from the Special menu. Any combination of these options works.

4.Define the criteria for the filter by using the header item drop-down menus and the text fields to specify which header items should include a particular string of text. You can define two related terms for the criteria so that your filter is as specific as possible.

5.Define the action or actions to be taken on messages that fit the criteria and save the filters.

Filter Actions
For a filter you’re creating or modifying in the Filters window, all messages that match the filter criteria are acted on as specified with the Actions drop down menus. Each filter can do up to five things to a message that matches the criteria.

To take advantage of the enhanced selection of sound file playback, use the Play Sound action:

Play Sound (Sponsored and Paid modes only)—Plays the selected sound when messages are filtered. Now accepts a wide variety of sound formats.1.From the Tools menu, choose Filters, or click on the Filters window’s tab if it is part of a visible tabbed window group. The Filters window appears, and any filters you have created are listed on the left.The Filters window lets you create more complex, powerful filters that use multiple match conditions and perform multiple filter actions.
