SaneBox : Security Add-on

         SaneBox does a great and helpful job separating the emails you need to see now from those you can consume at leisure, reserving your inbox for the former.

 
             SaneBox works with any IMAP account (including Gmail, MobileMe, Yahoo! Mail, AOL and AIM Mail, and Exchange) and is pretty accurate, but its focus on senders instead of individual emails can lead to misplaced emails. A version to run on your own servers might be handy, too.

Advantages:

  •     SaneBox reduces your email inbox down to the most important emails
  •     Quite accurate, SaneBox is appropriately picky about what makes it to your inbox
  •     You can easily postpone emails with SaneBox, too, and graphical reports encourage good email habits

Drawbacks:
  •     SaneBox's focus on judging senders and not individual messages can have it misplace certain mail
  •     It would be swell if SaneBox could perform even more tasks automatically
  •     SaneBox does not work locally and requires an IMAP or Exchange account

Description:
  •     SaneBox identifies the important emails in your email inbox.
  •     All non-critical email is moved to a special (@SaneLater) folder; with Gmail, SaneBox can also just label it.
  •     SaneBox can classify with up to five categories: top, important, consume at leisure, newsletters, and transactional mail.
  •     You can keep things simple with only two categories — important or not —, of course, or add custom folders for training.
  •     Moving mail to two special folders (@SaneTomorrow and @SaneNextWeek, for instance) let you defer emails for any time.
  •     You can train SaneBox by moving emails to the desired folder; moving to @SaneBlackHole creates a filter to ignore a sender.
  •     SaneBox can monitor your email account's spam folder for important messages.
  •     Connecting with Facebook, LinkedIn and Twitter lets SaneBox know about people you know through these social networks.
  •     A motivating weekly (or monthly) report gives a graphical account of what kind of mail you got, and how you dealt with it.
  •     SaneBox supports Gmail, Yahoo! Mail, MobileMe, AIM and AOL Mail, Exchange and any IMAP or WebDAV email account.

Disable Quarantined Messages pop up window

                  When you open the CA Anti-Spam folder in Outlook or Outlook Express and there are new quarantined messages, CA Anti-Spam automatically pops up its New Quarantined Messages window.

Some find this useful, some find it annoying. I belong to the latter group of people, but fortunately it's easy to avoid the annoyance by preventing CA Anti-Spam from showing this window.

Steps to prevent CA Anti-Spam from opening the New Quarantined Messages window when you visit the Qurb folder:

  •     Select CA Anti-Spam | Options... from the CA Anti-Spam toolbar.
  •     Make sure Show new quarantined messages when CA Anti-Spam folder is selected is not checked under Reminders.
  •     Click OK.

CA Anti-Spam supports Windows 9x/ME/NT/2000/ Windows XP/Vista and Outlook Express/Outlook.

Disabling quarantine in CA Anti-Spam

          CA Anti-Spam does what few anti-spam tools can claim for themselves: it blocks 100%, roughly, of junk mail out of the box.

CA Anti-Spam does that by quarantining all mail not from authorized senders. To make sure you continue to receive your favorite newsletters, authorize them after signing up.

 
Steps to make sure CA Anti-Spam doesn't quarantine your favorite newsletters:

  •     Select CA Anti-Spam | Approved Senders... from the CA Anti-Spam toolbar.
  •     Click New....
  •     Type the newsletter's name under Name:.
  •     Enter the address or domain you want to whitelist under Address:.
                  If you are whitelisting a whole domain, make sure Consider everyone from company an approved sender is checked.
  •    Click OK.

CA Anti-Spam : Security Add-on

               CA Anti-Spam allows only mail from approved senders to your Inbox, checks sender credentials to warn about phishing attempts and lets you search your emails quickly, too. CA Anti-Spam suffers from the problems of challenge/response filters mildly, and you may still have to go through the spam you get every now and then.

Advantages:


  •     CA Anti-Spam integrates nicely with your normal workflow and is easy to use
  •     Using a whitelist, CA Anti-Spam bans spam effectively and alerts you about phishing
  •     CA Anti-Spam lets you search emails and other Outlook or Outlook Express data fast

Drawbacks:
  •     CA Anti-Spam is only available for Outlook and Outlook Express
  •     Spammers using an approved address can get through CA Anti-Spam's filtering

Avoid important mail filtering : Spamihilator

       Even Spamihilator, one of the best anti-spam tools combining content filters and Bayesian statistics, can make a mistake now and then.

          To make sure important messages or your favorite newsletters aren't filtered as spam even then, you can add their senders as friends. Mail from senders in your Friends list is never treated as spam by Spamihilator.

          we have added the whole Techsupp247.com domain to my Friends list, for example, to make sure I'll never have to go look for my Techsupp247 articles in the Spamihilator Recycle bin.

Steps to make sure Spamihilator never filters important mail as spam:
  •     Click on the Spamihilator system tray icon with the right mouse button.
  •     Select Settings... from the menu.
  •     Go to the Senders | Friends category.
  •     Click Add....
  •     Type the sender's name under Sender name:.
             For whitelisting About newsletters, enter "About", for example.
  •     Enter the email address or domain you want to whitelist under Mail address:.
           To whitelist a domain, use the wildcard character '*', which matches any character.

           To whitelist the "about.com" domain (for About newsletters), type "*about.com", for example.
  •     Click OK.
  •     Click OK again.

Spamihilator : Disable scoring content filters

        Bayesian spam filters automatically adapt to the types of spam and good mail you get. They learn whenever you tell them that a message is spam or a wanted piece of email.


       This also means that you will achieve the best results when using Bayesian filtering if there are no other filtering mechanisms working against it. For example, the Bayesian filter may have learned that emails with a certain type of attachment are worms (let's treat them as spam here), but a white list says "no!". Or the Bayesian filter knows that your friend likes to use words commonly found in spam. The scoring content filter, which looks at certain keywords, cries "junk!"

        Spamihilator comes with a capable Bayesian filter, but it also has a scoring content filter enabled by default. I suggest you turn it off. After a bit of training, this will pay off.
 
Steps to disable scoring content filters in Spamihilator:
  •     Click on the Spamihilator tray icon with the right mouse button.
  •     Select Settings... from the menu.
  •     Go to the Filter Properties category.
  •     Make sure Enable Spam-Word-Filter (recommended) is unchecked.
  •     Click OK.

Spam Bully: Filter All Mail in a Folder

          If you don't have Spam Bully filter a folder in Outlook Express for spam automatically, what it does when you click Scan Folder in the toolbar is scanning all unread messages only.

I have a few archive folders with old, but valuable messages in them — and maybe one or the other junk email, too. Naturally, they're all read. Fortunately, I don't have to mark them unread for Spam Bully to filter them for spam.

Steps to filter all mail in a folder with Spam Bully:
  •     Click on the down arrow next to the Scan Folder button in the Spam Bully toolbar.
  •     Select Scan all messages for spam from the menu.

Do check the Spam folder now, though. The uncharacteristically old and possibly uncharacteristic emails may have fooled the filter.

           Spam Bully is a great and efficient anti-spam tool. If you train it well, Spam Bully can rid your Inbox of unwanted emails almost completely. Be prepared for some false positives initially, though.

Advantages:
  •     Spam Bully has a great spam detection rate using multiple powerful filtering techniques
  •     You can request confirmations from new senders
  •     Spam Bully integrates well with Outlook, Windows Mail and Outlook Express

Disadvantages:
  •     Spam Bully requires Outlook, Windows Mail or Outlook Express and can mess with their settings
  •     A pure, not pre-trained Bayesian solution may be more accurate overall
  •     Spam Bully does not support IMAP accounts in Outlook Express

Description:
  •     Spam Bully is a spam filtering plug-in for Outlook, Windows Mail and Outlook Express.
  •     Offers lists of approved and banned senders, can import addresses from the Windows address book.

Deleting Old Mail's in IncrediMail

             If you keep mail on the server after downloading it in IncrediMail, you can re-retrieve it later in another email client or even in IncrediMail, if you have accidentally deleted an important message. 



That's great, but it means that your POP server will have to keep all those messages, and eventually your mailbox will be full. Your account will be clogged by so many old messages that it can't accept any new mail.In incrediMail lets you prevent that from happening easily, and automatically.Don't Clog the Mail Server with Very Old Mail in IncrediMail

Steps to avoid clogging your POP mail server with old mail in IncrediMail:
  •     Select Tools | Accounts... from the menu.
  •     Highlight the desired account.
  •     Click on the Properties button.
  •     Go to the Advanced tab.
  •     Make sure Leave a copy of messages on server is selected.
  •     Make sure Remove from server after __ day(s) is selected, too.
  •     Choose how many days after downloading a message IncrediMail should remove it from the server.
        Anything between 3 and 25 days seems reasonable.
        When choosing the amount of time mail should reside on the server, take into account how much mail you get. If your mail volume is high, choose a shorter time.
  •     Click OK.
  •     Click Close.

Insert the Last Used Smiley Fast

         IncrediMail comes with a large selection of graphical and animated smileys, easily inserted with a few mouse clicks.

But if you use the winking smiley 10 times out of 10 (like I do) or if you want to repeat an emoticon for super emphasis, there is an even faster way to add it to your message.

  •     Press "Ctrl key + 'E' key" on keyboard.

IncrediMail also provides a special toolbar that collects all your recently used emoticons for easy and fast access.

  •     Click on the desired smiley in the emoticons toolbar.

Undisclosed Recipients in IncrediMail

      Of all the reasons not to disclose something, not many are good reasons.

But protecting the privacy of the people that make up the diverse group to which you forward a joke is usually a good reason. Don't reveal the names and email addresses of all recipients, especially if they do not know each other well.

In IncrediMail, hiding recipients is easy using the Bcc: field, and we can make it even better and prettier by using a trick that displays our emails as going to "Undisclosed recipients".


Send an Email to Undisclosed Recipients in IncrediMail

First, let's set up a special address book entry that helps us avoid typing "Undisclosed recipients" more often than is absolutely necessary.
  •     Select Tools | Address Book... from the menu in IncrediMail.
  •     Click the Contact toolbar button.
  •     Type "Undisclosed" under First:.
  •     Enter "recipients" under Last:.
  •     Type your email address under Email Address:.
  •     Click OK.
  •     Close the Address Book.

To send an email to a group of people with individual recipients hidden and "Undisclosed recipients" in the To: field:

  •     Start with a new email message in IncrediMail.
  •     If you do not see a Bcc: field, select View | Show 'Bcc' Field from the menu.
  •     Click on the To: button.
  •     Highlight Undisclosed recipients.
  •     Click To ->.
  •     Now highlight all people in your address book you want to receive the message.
                Of course, you can also highlight a group.
  •     Click Bcc ->.
  •     Click OK.
  •     Add any additional recipients' email addresses to the Bcc: field.
                Make sure you separate addresses with semicolons.
  •     Compose and eventually send your message.

You'll Get a Copy

Since your email address is in the To: field, you will get a copy of your message to "undisclosed recipients" — do not let that alarm you.

Smart Notifiers in IncrediMail

       The butler's serving mail, of course, iconically in IncrediMail.

Is all mail fit for the butler, though, and all fit mail equal? How about having specific characters, animals and animations announce emails from certain people, and turning off notifications for unimportant messages altogether?

With smart notifiers, IncrediMail Plus lets you set up rules for notifiers. You can adapt them for certain senders or group mails, for example, or differentiate by the email account that received an email.

Steps to have IncrediMail use particular notifiers for certain senders, e.g., or for mail sent to a particular account:
  •     Select Tools | Select Notifier… from the menu in IncrediMail.
  •     If you cannot see the menu bar, click Menu in IncrediMail's title bar.
  •     Click Smart Notifier….
  •     Pick the desired condition for your smart notifier under Select a condition.
  •    To create a notifier for one or more particular senders, for example, make sure When an email arrives from a specific email address is selected.
  •    To get special notifications for messages sent to one of your email accounts, make sure When an email is sent to a specific account is selected.
  •     If the condition requires some input, enter it under 2..
  •     If you have picked When an email arrives from a specific email address, for example, type the desired sender's address under Enter one or more email addresses separated with a comma; you can use the Contacts… button to enter known senders right from your address book.
  •     If you have selected When an email is sent to a specific account, make sure the desired account is chosen under Select an account:
  •     Select the desired new mail notifier under Select a Notifier.
  •    Choose No Notifier to turn off notification for emails matching your criteria — emails from unapproved senders, for example, or with low importance.
  •     Click OK.
  •     Check the order of rules for smart notifiers.
  •    The first rule that matches any new message arriving when IncrediMail checks for new mail is used to announce the batch.
  •   Typically, put the most important rule — mail from your family, for example — on top and continue with decreasing importance.
  •   Use the MoveUp and MoveDown buttons to change the order of rules.
  •   Click OK.
  •   Click OK again.

Save massage as draft

          You love to write really long emails. Often, there is not enough time for all that message writing. Fortunately, IncrediMail lets me save the email I'm composing as a draft and continue editing it later.
 
Save a Message as a Draft in IncrediMail

Steps to save a message as a draft in IncrediMail:

  •     Select "File" | "Save" from the message's menu.
        Alternatively, simply hit Ctrl-S.
        If you use the Ctrl-S keyboard shortcut, make sure you do not hit Alt-S by mistake instead, which sends the (unfinished) message.

Continue Writing Your Draft

This lets IncrediMail save a copy of your message in the Drafts folder. Now you can close the message or even IncrediMail without losing your changes, and you can continue writing the message later.

Organizing Your IncrediMail

         As you install IncrediMail letters, animations, sounds and other styles, they automatically appear in a folder in your IncrediMail style box.

If you install many letters, things can get cluttered quickly. Fortunately, you can easily organize your IncrediMail styles by moving them to different folders.

To organize your IncrediMail letters, animations, sounds and other styles:

  •     Click on the style you want to move in the IncrediMail Style Box.
  •     To open your Style Box in IncrediMail, create a new message and click on the left arrow button at the left border of the message creation window.
  •     While keeping the mouse button clicked, drag the style to the target folder.
  •     Release the mouse button.

Create a New Folder for Content in IncrediMail

To create a new folder in the IncrediMail Style Box:
  •     Click on any folder in the Style Box with the right mouse button.
  •     Select New from the menu that comes up.
  •     Type the desired name of your new folder.
  •     Hit Enter.

Previewing mail more securely

      You read most of your mail's in the IncrediMail preview pane. It's just too convenient.

Fortunately, looking at
self security-conscious , which pointed to the long list of viruses and worms spreading by exploiting preview panes, could be reassured, too, by making the preview pane a bit more secure.

In IncrediMail, shy of hiding the preview pane altogether, you can disable all scripts from being run by just reading a mail in the preview pane. Scripts in emails are never essential and hardly ever needed. So you will not lose any functionality by turning them off but only gain security.

  •     Select Tools | Options... from the menu.
  •     Go to the Security tab.
  •     Make sure Disable scripts and iFrames when loading messages is checked.

         Usually, you'll not want to keep mail you have already downloaded in IncrediMail on the server. But it can be handy. If you want to fetch the same messages in another email program, for example. Or if you've accidentally deleted important mail. For these cases, IncrediMail can keep a copy of all mail it downloads at the server.


Leave a Copy of Downloaded Mail at the Server in IncrediMail

To have IncrediMail leave a copy of downloaded mail at the server:

  •     Select Tools | Accounts... from the menu in IncrediMail.
  •     Highlight the desired account.
  •     Click Properties.
  •     Go to the Advanced tab.
  •     Make sure Leave a copy of messages on server is selected.
  •     Click OK.
  •     Use the Close button.

If you want to make sure you're not clogging the mail server with old messages, IncrediMail can help you, too.These steps can be followed for IncrediMail installed in Windows XP, 2000, 98 etc

Increase the Text Size

             Computer screens are great for playing games and watching movies, but in spite of recent advances they are still not ideal for reading text. Yet, this is what we do most of the time. We read emails, for example.

If you read your emails in IncrediMail, you can make some messages easier on the eyes by increasing the font size used to display them. This can be helpful with notoriously pretty but small newsletters, for example.

 
Increase the Text Size When Reading Mail in IncrediMail

Step to increase the text size when reading mail in IncrediMail:
  •     Hold down the Ctrl key while you scroll down on your mouse wheel.

This works in both the IncrediMail preview pane and if a message has been opened in its own window. If you have no mouse wheel, you can select "View" | "Text Size" | "Larger" from the menu.

Look up a Word Definition

       How handy a dictionary or encyclopaedia would be. but wait, isn't the web just a browser  and some typing or copying and pasting — away?

But wait again! In IncrediMail, a handy window with translations, definitions and articles from encyclopaedias is just a mouse click away.

 
Look up a Word Definition or Translation in IncrediMail

Steps to get an instant translation for a word or its definition from online encyclopaedias in IncrediMail:
  •     Double-click the desired word in an email.
  •     Click the down arrow on the globe button that appears next to the highlighted word.
  •     Select Translate "___" from the menu.

Look up Words Even Faster

Alternatively, you can also
  •     Hold down the Ctrl key while clicking on any word with the right mouse button or
  •     Highlight a word and click the Translator icon in the message toolbar or header area.

Log Receiving and Sending Activity

        You do notice, when something does not work — you cannot send mail, or new emails do not arrive. IncrediMail may even pop up an error message with some hints. Often, these hints may be enough to fix the problem, but sometimes they are not.

   IncrediMail can also keep a detailed (and dry, of course) log of what it does and tries to get your messages, or get them delivered. You can then use these recordings to better diagnose the condition, or be appreciated tremendously by a tech support person who'll love you for the detailed data — "the log" — you hand them.

 
Log Receiving and Sending Activity in IncrediMail for Troubleshooting

Now, to make IncrediMail record its actions while sending or receiving mail:
  •     Select Tools | Options... from the menu in IncrediMail.
  •     Go to the Advanced tab.
  •     Make sure Generate a log file when sending or receiving mail is checked.
  •     Click OK.

After you have turned on logging, all attempts to send or receive mail are recorded. To access the log files created, go the Advanced options tab again and click on Logs.... You'll find files named "IMAP - ", "POP - " or "SMTP - " plus the name of the account for which the mail action was carried out.
